Dean for Pre-Clinical Education without coming before the Promotion Board, if it is the first time that they have failed that component during the academic year and if they have not failed other components of any other courses during the academic year. • In the OMS 1 and OMS 2 years, students who have failed a component of the ICC course are allowed one opportunity to remediate over the one-week period during block break by the Associate Dean for Simulation and Technology and the Associate Dean for Pre Clinical Education without coming before the Promotion Board. • In the OMS 3 and OMS 4 years, students who have failed an end-of-rotation exam are allowed one opportunity to retake the end-of-rotation exam and obtain a passing score by the Associate Dean for Clinical Affairs without coming before the Promotion Board. • In the OMS 2 – OMS 4 years, students who fail the following will be placed on temporary withdrawal by the Campus Dean without coming before the Promotion Board: o Failed to sit for COMLEX Level 1 by the first day of the OMS 3 year (if not enrolled in a college approved immersion program) o Failed to receive a passing COMLEX Level 1 by the first day of the second semester of the OMS 3 year o Failure to sit for COMLEX Level 2 CE by October 1 of the OMS 4 year (or date defined in an ADPOS) o Failed to pass COMLEX Level 2 CE at the time of graduation and is not in a college approved immersion program or fellowship 3. PROMOTION BOARD MEMBERSHIP Members of the Promotion Board are appointed by the Campus Dean. Quorum is 70% of the membership of the Promotion Board. As this is not considered a legal hearing and is instead an academic proceeding, attorneys or other representatives outside of VCOM are not allowed. If a voting member of the Promotion Board is also a Course Director for a failed course or a Chair for the failed rotation, that member may participate in discussion but is excluded from voting upon a student who failed their course or rotation. 4. PROMOTION BOARD PROCEDURES A. At the conclusion of the academic block/rotation, the Associate Dean, appropriate for the year of the student, may convene the Promotion Board: • The Associate Dean for Pre-Clinical Education convenes and Chairs the Board for all OMS 1 and OMS 2 cases. • The Associate Dean for Clinical Affairs convenes and Chairs the Board for all OMS 3 cases. • The Associate Dean for OMS 4 and GME convenes and Chairs the Board for all OMS 4 cases. B. Once a student has been deemed to be experiencing difficulty in making academic progress that warrants a Promotion Board, the appropriate Associate Dean will meet with each student to notify them of their final course grade (or component grade) and that he/she will be brought before the Promotion Board. • The Associate Dean will also inform the student of the Promotion Board process
