Reasons to Call a Promotion Board for COMSAE, COMPE, and COMLEX The Associate Dean for Pre-Clinical Education, Associate Dean for Clinical Affairs, or the Associate Dean for OMS 4 and GME (depending on which year the student is in at the time of difficulty) will refer to Promotion Board any student who has: • Failed the 3rd attempt of COMSAE Phase 1 as the final exam of the comprehensive review course. • Failed the 2nd attempt of COMSAE Phase 2 as the final exam of the comprehensive review course. • Failed any level of COMLEX on 3 attempts or failed attempts thereafter • Failed to follow the required remediation plan for a failure of COMSAE, COMPE, or COMLEX Special Meetings of the Promotion Board Special meetings of the Promotion Board may be convened at any time by the Campus Dean or Associate Deans and will be chaired by the appropriate Associate Dean. The role of voting and non-voting members and meeting procedures will be the same as specified above. A representative of the Honor Code Council, Professional and Ethics Standards Board or a similar representative may be invited to clarify issues related to the specific case being discussed. Special meetings of the Promotion Board may be called for the following: • To determine placement of a student who has taken an approved extended leave or has been on suspension to determine where the student will be placed in the curriculum and to determine if any additional curriculum is needed. • To determine if academics will be impacted for a student who has taken an unplanned and/or unapproved leave and is being brought before the Honor Council or the Professional and Ethics Standards Board. • Other reasons as determined by the Campus Dean or Associate Dean Promotion Board Membership Members of the Promotion Board are appointed by the Campus Dean. Quorum is 70% of the membership of the Promotion Board. As this is not considered a legal hearing, and is instead an academic proceeding, attorneys or other representatives outside of VCOM are not allowed. Promotion Board Procedures 1. At the conclusion of the academic block/rotation the appropriate Associate Dean may convene the Promotion Board: • The Associate Dean for Pre-Clinical Education convenes and Chairs the Board for all OMS 1 and OMS 2 cases. • The Associate Dean for Clinical Affairs convenes and Chairs the Board for all OMS 3 cases. • The Associate Dean for OMS 4 and GME convenes and Chairs the Board for all OMS 4 cases. 2. Once a student has been deemed to be experiencing difficulty in making academic progress that warrants a Promotion Board, the appropriate Associate Dean will notify the student that he/she will be brought before the Promotion Board. • The secretary of the Promotion Board will contact the student to inform them of the procedures of the Board and the student’s responsibilities in the process. This includes making the student aware that: o Prior to the Promotion Board meeting, each student coming before the Board must submit a letter presenting any issues or considerations that they wish to make known to the Promotion Board. The student must submit any information they plan to present in the proceeding in advance. o The student’s attendance at the Promotion Board meeting is required. Students in the OMS 3 or OMS 4 years who are at distant clinical sites may attend via phone or Zoom. 3. The appropriate Associate Dean will report the reason the student has been brought before the Promotion
