VCOM Administrative and Classified Staff Handbook

Salary Information

Paydays All VCOM employees are paid twice a month, on the first and the sixteenth. When a payday falls on a weekend or a holiday, employees are normally paid on the preceding business day. Employees who have any questions about their check or direct deposit should talk with their campus Human Resources Director. Direct Deposit All employees of VCOM are encouraged to have their semi-monthly earnings electronically deposited into a bank account. Pay will be deposited into the employee’s bank account on each payday. Instead of a paycheck, the employee can access a “deposit advice” which details withholding information. To sign up for direct deposit, contact your campus Human Resources office. Time Sheets Wage employees need to submit a VCOM wage timesheet on a semi-monthly basis. These timesheets must be signed and approved by the employee’s supervisor who will then forward the form to the campus Human Resources office. Time sheets should be turned in for processing five to seven business days before the next pay day. Wage employees are paid two weeks in arrears so that the calculation of their actual hours worked can be performed prior to payday. Salaried employees are paid for the period ending with the pay date. Employees should contact their campus Human Resources office for further information. Payroll Deductions Because of various deductions that are taken from an employee’s pay, the amount of salary earned and the amount received in the check or direct deposit are different. Law requires some of the deductions and some of them are made at the employee’s request. Deductions that are required by federal and state laws are state and federal income taxes and social security. Voluntary deductions are those which are recognized by VCOM and made at the employee’s request. They include health insurance premiums not paid by VCOM, supplemental retirement annuities, and flexible benefits contributions. Tax liens and garnishments must be honored in accordance with the State Garnishment Law and the Federal Wage Garnishment Act. A garnishment or lien is the result of legal procedure whereby part of an employee’s salary is required to be withheld for the payment of a debt. Federal and state law prohibits the discharge of any employee because his/her earnings have been subjected to garnishment for any one indebtedness. An employee who receives more than one garnishment, however, may be subject to disciplinary action, which could include termination. Office Closings: Inclement Weather/Emergencies In certain circumstances, when VCOM is affected by inclement weather conditions, a natural disaster, or other emergencies, classes may be cancelled and operations of VCOM officially suspended. Such authorized closings may be for an entire or partial day. When VCOM is officially closed for students, faculty and staff, non-emergency VCOM personnel are not required to work.
