• Placement in the curriculum of a student who has been suspended or on a leave for an extended period resulting in a withdrawal and who has been approved for readmission by the Admissions Committee to determine appropriate placement in the curriculum • Other referrals by the Campus Dean or Associate Deans Of Note: While not a Promotion Board referral, students who fail more than one first attempt failure of end-of rotation exams within a semester (i.e. failed the first attempt end-of-rotation exam for pediatrics and failed the first attempt end-of-rotation exam for surgery within the first semester), even if the student has successfully remediated the prior end-of-rotation exam on the second attempt, will be placed on academic probation (at a minimum through their OMS 3 year) by the Campus Dean. Reasons to Call a Promotion Board for COMSAE, COMPE, and COMLEX The Associate Dean for Pre-Clinical Education, Associate Dean for Clinical Affairs, or the Associate Dean for OMS 4 and GME (depending on which year the student is in at the time of difficulty) will refer to Promotion Board any student who has: • Failed the 3rd attempt of COMSAE Phase 1 as the final exam of the comprehensive review course. • Failed the 2nd attempt of COMSAE Phase 2 as the final exam of the comprehensive review course. • Failed any level of COMLEX on 3 attempts or failed attempts thereafter • Failed to follow the required remediation plan for a failure of COMSAE, COMPE, or COMLEX Special Meetings of the Promotion Board Special meetings of the Promotion Board may be convened at any time by the Campus Dean or Associate Deans and will be chaired by the appropriate Associate Dean. The role of voting and non-voting members and meeting procedures will be the same as specified above. A representative of the Honor Code Council, Professional and Ethics Standards Board or a similar representative may be invited to clarify issues related to the specific case being discussed. Special meetings of the Promotion Board may be called for the following: • To determine placement of a student who has taken an approved extended leave or has been on suspension to determine where the student will be placed in the curriculum and to determine if any additional curriculum is needed. • To determine if academics will be impacted for a student who has taken an unplanned and/or unapproved leave and is being brought before the Honor Council or the Professional and Ethics Standards Board. • Other reasons as determined by the Campus Dean or Associate Dean Promotion Board Membership Members of the Promotion Board are appointed by the Campus Dean. Quorum is 70% of the membership of the Promotion Board. As this is not considered a legal hearing, and is instead an academic proceeding, attorneys or other representatives outside of VCOM are not allowed. A member of the Promotion Board must recuse themselves from the presentation, deliberation, and vote about a student with whom they have a conflict of interest by notifying the committee chair. Prior to the student's presentation at the Promotion Board, if the student identifies a conflict of interest with any member of the committee, that committee member must recuse themselves from the presentation, deliberation, and vote about the student. Promotion Board Procedures 1. At the conclusion of the academic block/rotation the appropriate Associate Dean may convene the Promotion Board: • The Associate Dean for Pre-Clinical Education convenes and Chairs the Board for all OMS 1 and
