outlines the medical necessity of the leave. Employees must submit an update every two weeks (or shorter if the leave is for shorter periods) if the total time exceeds the six weeks of leave normally provided for childbirth. Additional time off may be allowed under the Family Medical Leave Act (see the family medical leave section for details). Employee Emergent Sick Leave Sharing Program or “Sick Leave Bank” The College recognizes that employees may have a personal or a family medical emergency that results in a need for additional time off that exceeds their available annual sick leave. To offer a means where eligible employees will be allowed to donate a portion of their paid annual sick leave from their unused balance for use by co-workers who experience an extreme need for additional paid sick leave, VCOM has created the emergent sick leave sharing program: • Employees requesting to receive donated sick leave may do so in the event of a significant personal illness or illness of a dependent child or spouse that requires additional leave after the employee’s 10 days of sick leave has been exhausted. • Employees requesting sick leave sharing and those providing sick leave sharing must both be employed by the College on a full-time basis for a minimum of one year to be eligible to donate and/or receive donated sick leave. • An employee will not be granted sick leave from the bank until all of their own annual leave is depleted including sick leave and annual leave. • The shared sick leave for the employee must have been donated by employees who work in the same Division or Department and/or the employee covering the leave is able to actually cover some or all of the employee’s duties. • At the end of each fiscal year, all employee sick leave, including the emergent sick leave bank, will reset to a zero balance on July 1. Donating Sick Leave The donation of sick leave to the emergent sick leave bank is strictly voluntary. A donor may authorize donation of sick leave time by completing a Sick Leave Sharing Donor Form and submitting it to Human Resources. • The minimum number of sick leave hours that an eligible employee may donate is 4 hours and the maximum is 16 hours. • Employees cannot borrow against future sick time to donate. • Employees who are currently on approved leave of absence or who have taken a leave of absence or who
have exhausted their sick leave during the year cannot donate sick leave to the bank. • Donated sick leave may only be used for time off related to the approved request. Requesting Donated Sick Leave
Employees who would like to request donated sick leave are required to complete a Recipient of Sick Leave Time Application and submit it to Human Resources. Employees must provide proof of the medical emergency to Human Resources for review and approval. The donated sick leave must be approved by all three of the following: Human Resources, the employee's immediate Supervisor, and the employee’s Division Officer. • Employees who receive donated sick time may receive no more than 40 hours (5 days) within the College’s fiscal year. • Employees who are currently on approved leave of absence, short-term or long-term disability, or workers’ compensation are not eligible to receive donated sick leave.
