Office of the Registrar VCOM’s Office of the Registrar is committed to serving prospective and current students, graduates, faculty, staff, and administration. The Registrar’s office serves as a primary resource for information and record keeping, including but not limited to, annual enrollment updates and verification, student transcripts, application to ERAS, graduation readiness, and post-graduation credential verification. The Office of the Registrar is compliant with the directives, mandates and recommendations provided by the Family Educational Rights and Privacy Act. VCOM maintains the transcript of the individual student’s record as a permanent record indefinitely and other student records for a minimum of six years from graduation or termination. Transcript Requests from Students Upon a formal request to the Office of the Registrar through the established procedures, a current or former VCOM student or graduate may request a transcript. Every request for an official transcript or unofficial transcript for a non-enrolled student who has not graduated must be approved through the Office of the Provost. The Office of the Registrar does not need approval to send a transcript on behalf of a graduate or current student in good standing. VCOM (through the Office of the Provost) reserves the right to deny the release of any transcript for reasons including but not limited to: disciplinary actions taken by VCOM, not meeting financial obligations to VCOM or its affiliates, not following the procedure set forth in the withdrawal/leave/exit process from the College, and/or not returning VCOM issued items requested. Official Transcripts VCOM prohibits the Registrar from releasing official transcripts directly to any previous or current student; however, students may request an official transcript to be released directly to hospitals, board licensing programs, loan companies, etc. The Office of the Registrar reserves the right to verify the agency or address where the transcript is to be sent. Official transcripts are free for current students. Transcripts are $15 per transcript for previous students or graduates. Additional fees will be charged at the student’s expense if a delivery method other than USPS first-class mail is selected or if express delivery is selected. Official transcripts, the medical student performance evaluation (MSPE or Dean's letter), and other formal documents are permanent and may not be amended after graduation.
