VCOM Policy and Procedure

Policy #R018

• Be aware of any special sponsor-specific requirements for funded international research projects. • Be familiar with export control regulations. • Be aware of travel warnings and restrictions before arranging travel to international countries. The U.S. Department of State informs the public of conditions in other countries that may threaten the safety and security of U.S. citizens. Refer to U.S. Passports & International Travel for travel alerts, travel warnings and country specific information. • Arrange data analysis support through one of VCOM’s biostatisticians or special arrangements by the PI. • Meet with the student regularly to establish and maintain a satisfactory timetable for the research. • Provide timely responses to any difficulties brought to your attention by the student. • Work closely with the Vice President for International Outreach to ensure all in-country requirements are met. • Provide regular feedback to the student. If the faculty mentor feels unable to raise or resolve an issue with the student, then the Vice Provost for International and Appalachian Outreach should be consulted. • Mentor students and approve all publications, posters, and related public access to study results. 4.3. VCOM International Program Responsibilities The International Outreach Office will provide administrative support and management for international research but will not take responsibility for conducting research or data collection. The International Outreach Office will support the faculty mentor and student but will not assume direct responsibility for providing student management such as CITI training follow up, IRB documentation approval, IRB appointments, etc. This is the responsibility of the faculty mentor, the student, and the VCOM IRB. The International Outreach Office’s responsibility is to support faculty who will direct, mentor, and guide students. The International Outreach Office may facilitate a Zoom meeting with the faculty mentor, in-country supervising physician, and student researcher prior to the student rotation to introduce the student researcher, discuss the arrangements with the in-country supervising physician, and establish working relationships. After this initial meeting, subsequent meetings will be the responsibility of the student researcher and the faculty mentor. 5. COMPLETING THE RESEARCH ROTATION An approved international research project may be applied towards fulfillment of requirements for the student’s required third-year research rotation or fourth-year elective research rotation. Students wishing to apply research conducted in an international setting to their required third-year or fourth-year elective research rotation must meet all requirements outlined in the course syllabus. 6. DURATION OF POLICY The VCOM Policy on Students Performing Research During an International Rotation is effective as of the date above and will remain effective until amended or terminated by the President, with approval by the Board of Directors.
