components become obsolete and required software and security updates can no longer be reliably maintained. As a result, any computer exceeding 7 years of age will be decommissioned and responsibly recycled or disposed of. Decommissioned computers that remain functional are repurposed to form the campus loaner pool, which IT maintains to support short-term needs across the institution. Retaining outdated devices outside this process reduces the availability of the loaner pool and increases security risks, as older systems eventually lose support for operating system updates and hardware integration. 8. EMPLOYEE OPTION TO PURCHASE ASSIGNED COMPUTER Faculty and staff may have the option to purchase their assigned computer when receiving a new computer or upon separation from VCOM, provided they receive approval from both the Business Office and Senior IT Leadership. Once approval is granted, IT support technicians will assist in facilitating the purchase process. The Business Office, in collaboration with VCOM IT, will establish a buy-out price based on the device’s fair market value. All computers are sold "as-is" and no guarantees will exist. The computer when sold to the employee, must be wiped of college software by IT support technicians to ensure compliance with software licensing requirements. No VCOM intellectual property will be transferred, and no rights or access privileges are granted as part of the sale. 9. DURATION OF POLICY The VCOM Computer and Hardware Acquisition and Replacement Policy is effective as of the date above and will remain effective until amended or terminated by the President, with approval by the Board of Directors.
